Activity Registration Form

Activity Registration Form

At this time, NM Public Health restrictions on gathering sizes guide our plans regarding everything from club meetings to attendance at sporting events. Club meetings, lectures, fraternity and sorority activities, study sessions, intramurals, and other activities that occur in person are expected to be limited in size and are expected to observe precautions such as physical distancing and face coverings based on guidance from state and local public health authorities, university guidance, and the space used.
All chartered student organizations are expected to complete an Activity Registration Form as a mechanism to assist in the event planning process and to ensure that advisors are up-to-date on organization activities.

UPDATE: there is a new COVID-19 Safety Template in the Activity Registration form for all in person events that must be filled out in order for the event to be approved. Please make sure and download the form from the link in the ARF and upload it when complete to the ARF.

All in person events MUST go through the Activity Registration Form Review Committee. Your ARF will be addressed in the order it was recieved. Those that were recieved first will be highest priority and addressed first, so make sure you get your ARF in with plenty of time for the committee to review it and for you to address any necessary modifications to your plans. The committee meets every Thursday at 3:30pm to 4:30 pm.

Thank you.

Moving forward the following Student Organization Activity & Event Protocols are in place for Fall 2020.
  • Virtual meetings and/or outdoor activities are encouraged following COVID 19 safety protocols (i.e. face coverings & physical distancing requirements).
  • Indoor meeting attendance must be limited based on the capacity and type of room/facility being scheduled (due to physical distancing requirements). Student organizations should attempt to limit all face to face meetings and social gatherings that will take place indoors to 5 or less people (per State of NM Health Orders). Non-NMSU students (community members) will NOT be allowed to join in-person meetings on campus, nor should any participants who have traveled from other states or countries (via commercial carrier) unless they have followed appropriate isolation requirements.
  • Information Tabling Events are restricted to outdoor locations only. There are to be no more than 5 people gathered at a table at one time. Social distancing between individuals (6 feet between people must maintained and face-coverings must be worn).
  • Be advised  dining and catering requirements have changed. Dining and other special-use facilities on campus are limiting the number of patrons utilizing the space and catering set-up options are limited. The Activity Center and Natatorium will be closed until further notice.
  • Off campus participation at volunteer locations in the community are allowed. Student organizations should follow specific safety strategies identified by the CDC which can be found at this CDC link.
·         The Office of Student Involvement & Leadership Programs, Office of the Dean of Students, and NMSU is committed to keeping our campus community healthy and safe. We encourage organizations to regularly monitor NMSU email messages and the NMSU Ready Plan at  for further information.
As you know, information from the federal, state, and health agencies regarding the COVID-19 virus is coming in at a face pace.  As a staff committed to student success and leadership development and the promotion of student involvement – we are trying to keep up with directives from numerous agencies and provide the best guidance possible for our student leaders and student organizations.
NMSU will provide in-person activities to the extent that it is safe and practical to do so. While study abroad and student exchange activities are not possible at this time, such activities will resume as soon as possible. Similarly, field trips and other experiential learning activities will occur where possible.
